How easy is it to cancel?+

Do I need to be technical?+

The 7-day free trial

When you start a Hostloop trial, you provide payment card details which are securely stored by our payment processor, Stripe. No money is taken during the 7-day trial period.

The trial begins on the date you submit your payment details and runs for 7 consecutive calendar days. At the end of the trial, if you have not cancelled, your card is automatically charged £299 and a monthly subscription begins.

How to cancel during the trial

You can cancel your trial at any time before it ends by:

  • Replying "cancel" to any Hostloop message on WhatsApp
  • Emailing hostloop.io@gmail.com
  • Using the cancellation link in your trial confirmation email

Once cancelled before day 7, your card is not charged and your account closes. You owe nothing.

14-day money-back guarantee

If you decide to continue after the trial and pay your first £299, you can request a full refund within 14 days of that first payment. Just email hostloop.io@gmail.com with your account email and the word "refund" — we'll process it within 5 working days, no questions asked.

Cancellations after day 7

After the trial period, your subscription is month-to-month. You can cancel any time. Cancellation takes effect at the end of your current billing period — we don't pro-rate refunds for partial months, but you'll have full access until the period you've paid for ends.

What happens to your data when you cancel

You can export all your business and customer data at any time, including after cancellation. Your data is retained for 30 days after cancellation in case you change your mind, then permanently deleted unless you ask us to keep it longer.

Who we are

Hostloop is operated by Jacob Kelly, trading as Hostloop, a sole trader registered in England and Wales. By using the Hostloop service ("the Service"), you agree to these Terms of Service.

What Hostloop provides

Hostloop is a customer communication and business management platform for service businesses. We provide you with a configured instance, ongoing access to the platform, and direct founder support.

Your subscription

Subscriptions are billed monthly at £299, charged automatically to your payment card on the same date each month following the end of your trial. Prices are inclusive of any applicable UK VAT (we are not currently VAT-registered; this will be updated and communicated to you if and when we cross the VAT threshold).

You may cancel at any time. There are no fixed-term contracts.

Your responsibilities as a customer

You agree to:

  • Use Hostloop only for lawful business purposes
  • Provide accurate information when setting up your account
  • Comply with applicable laws when contacting your customers — including UK GDPR, the Privacy and Electronic Communications Regulations (PECR), and consumer protection law
  • Not use Hostloop to send spam, harassing messages, or unsolicited marketing to anyone who has not opted in
  • Keep your login credentials secure
  • Pay your subscription fees on time

What we're responsible for

We commit to:

  • Providing reasonable uptime and availability of the platform (target 99% monthly)
  • Responding to support requests within one working day
  • Keeping your data secure to industry standards
  • Notifying you of significant changes to the service or pricing with at least 30 days' notice

Things we are NOT responsible for

Hostloop is a tool. While we work hard to make it reliable, we cannot guarantee:

  • Specific business outcomes (such as a particular number of bookings or revenue)
  • Compatibility with every third-party tool you may want to integrate
  • Continuous availability of underlying services (such as WhatsApp, Instagram, or Stripe) which are operated by other companies
  • Any losses arising from your or your customers' use of the service beyond our reasonable control

Our total liability to you is limited to the amount you have paid us in the 12 months preceding any claim.

Suspending or terminating accounts

We may suspend or terminate your account if you breach these terms, fail to pay, or use the service for illegal activity. We will give you reasonable warning where possible.

Changes to these terms

We may update these terms occasionally. Material changes will be communicated to you by email with at least 30 days' notice. Continued use after the notice period constitutes acceptance.

Governing law

These terms are governed by the laws of England and Wales. Any dispute is subject to the exclusive jurisdiction of the courts of England and Wales. Your statutory consumer rights are not affected by anything in these terms.

Who we are

Hostloop is operated by Jacob Kelly, trading as Hostloop (sole trader, England and Wales). For the purposes of UK GDPR, we are the "data controller" for personal information you give us directly (e.g. when you contact us or sign up).

When Hostloop processes your customers' data on your behalf (e.g. names and phone numbers of people contacting your business), we act as a "data processor" and you are the data controller. A separate Data Processing Agreement is available on request.

What data we collect

We collect only what we need to provide the service:

  • Identification data: Name, business name, email address, phone number
  • Billing data: Card details (processed by Stripe — we never see your card number), billing address, VAT number if applicable
  • Account data: Login credentials, configuration choices, integrations you connect
  • Communication data: Messages you send us via WhatsApp, email, or the website form
  • Usage data: How you use the platform (pages visited, features used) to improve the product
  • Technical data: IP address, browser type, device type — collected via standard server logs and Cloudflare

Why we collect it (legal basis)

  • Contractual necessity: To provide the Hostloop service you've signed up for
  • Legitimate interest: To improve our product, prevent fraud, and run our business
  • Legal obligation: To comply with tax law and other UK regulations
  • Consent: Where we ask permission (e.g. marketing emails)

Who we share data with

We share data only with service providers we genuinely need to run Hostloop:

  • Stripe — payment processing (your card details)
  • Our platform infrastructure provider — the technology stack the Hostloop platform runs on
  • Twilio — phone/SMS delivery
  • Cloudflare — hosting, security, content delivery
  • Google Workspace — email correspondence
  • Web3Forms — contact form submissions

We never sell your personal data. We never share it with advertisers or marketers.

How long we keep it

  • Active account data: for as long as you're a customer
  • Cancelled account data: 30 days after cancellation, then deleted
  • Financial records: 6 years (HMRC requirement)
  • Marketing contacts: until you unsubscribe

Your rights under UK GDPR

You can at any time:

  • Request a copy of all personal data we hold about you (right of access)
  • Ask us to correct inaccurate data (right to rectification)
  • Ask us to delete your data (right to erasure / "be forgotten")
  • Ask us to restrict how we process your data
  • Object to certain processing
  • Request your data in a portable format
  • Withdraw consent (where consent is the basis)

Complaints

If you're unhappy with how we handle your data, please tell us first — we'll try to make it right. You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ico.org.uk).

International transfers

Some of our service providers are based outside the UK. Where this happens, we ensure appropriate safeguards are in place such as Standard Contractual Clauses or adequacy decisions.

Children

Hostloop is a business tool not intended for anyone under 18. We do not knowingly collect data from children.
